VOLUNTEER SYSTEM

In August 2014 the San Ramon Valley Unified School District implemented a new system for all adults who wish to volunteer on a school campus or drive/chaperone day and overnight field trips and athletic events. The Volunteer Management System features a web-based software application that allows the District and all schools to better track and provide the appropriate level of clearance for school volunteers.  If you have already been fingerprinted for the purposes of volunteering in our schools, we will not ask you to do that again!
 
The SRVUSD Volunteer Management System includes three (3) levels of volunteer clearance and tracking. During the online application process, you will be asked to choose the level or levels of clearance you will need based on your anticipated involvement. You may choose to select one, two or all three levels of clearance:
 
  • Level 1.    Classroom Aides and other on-campus school volunteers: This is the most basic level, and includes completion of the Volunteer Online Application, and a search of the Sex Offender Registry.

    *This level of clearance will allow you to act as a volunteer in classrooms, support campus activities and chaperone day field trips (as a non-driver).
  • Level 2.    Field Trip Drivers: At this level, the District will obtain a 10-year driving history and DMV “Pull Notification" ("Pull Notification" allows the District to be notified any time there is a reportable traffic violation or incident that is registered with the Department of Motor Vehicles). Also includes completion of the Volunteer Online Application, and a search of the Sex Offender Registry. 

    *This level of clearance will allow you to transport students as a driver for field trips, extra-curricular activities and athletic events. **Clearance for this level could take up to 14 days.
  • Level 3.    Overnight Chaperones:  We will be conducting background clearances on all Overnight Field Trip volunteer applicants. This is the most stringent level of clearance, and all volunteers who wish to chaperone on an overnight trip will be required to go through this process. It includes criminal background clearance through the FBI and Department of Justice. For additional requirements for chaperones who are also driving on a trip, see Level 2 above.
 *This level of clearance will allow you to act as a chaperone for overnight field trips and activities. **Clearance for this level could take approximately 30 days.
 
THE FOLLOWING TWO (2) CHANGES WILL BE PART OF THE APPROVAL PROCESS FOR THE 2023-2024 SCHOOL YEAR:
 
       1. Volunteers at all three levels will now be required to provide proof of Tuberculosis (TB) clearance every four (4) years. If you have proof of TB clearance within the last four (4) years, that is acceptable to meet this requirement.
               **Please consult directly with your medical provider to find out information about what TB test option is best for you.
               **You can also locate community providers for testing if you don’t have access to your own medical provider. 
               **We also encourage you to review more information on Tuberculosis and TB testing from Contra Costa Health Services.
       2. Level Three volunteers will now be required to complete online Mandated Reporter training annually and online Sexual Harassment training every two (2) years. Mandated Reported training takes approximately 40 minutes to complete. Sexual Harrassment training takes approximately 60 minutes to complete.
 
TB Clinics offered in September 2023
 
SRVUSD has partnered with John Muir to offer TB Clinics for Parents/Guardians to apply to be SRVUSD volunteers. At these clinics, John Muir medical professionals will ask volunteers the questions from this Tuberculosis (TB) Risk Assessment Questionnaire, which is an alternate way to fulfill the TB requirement instead of having an injection or chest x-ray. The risk assessment at these clinics is free for all volunteers.

Please review this important information before determining which clinic you will attend:
  • You do not need to be a John Muir medical member to participate in a clinic. Whether you have Kaiser, no insurance or some other insurance, all are welcome! .
  • The option of the Tuberculosis (TB) Risk Assessment Questionnaire will be provided on all three clinic dates. We highly recommend you review the risk assessment questions (page 1) ahead of time.
  • If you believe you will need a skin test based on the risk assessment questions, you must attend the clinic on September 11th, and return for the clinic on September 13th for the skin test results to be read.
  • If you believe you will need a skin test completed on September 11th, you must plan to bring $30.00 cash, check, or money order (made payable to SRVUSD) to pay for the skin test. 
    • If you do not have the means to pay for a skin test, please reach out ahead of the September 11th clinic to your school Principal.
  • If you believe you will need a chest x-ray to show proof of negative TB, please go to your medical provider or to one of these community providers.

The dates, times, and locations of the three John Muir Health clinics are listed below. You do not need to make an appointment, and you do not need to go to the clinic if you have already provided proof of TB clearance:

September 7: 4:00-6:00 p.m. @ Los Cerros Middle School Professional Development Center (Risk Assessment only); 968 Blemer Rd., Danville
 
September 11: 4:00-6:00 p.m. @ Dougherty Valley High School Main Gym (Risk Assessment & Skin Test Injection); 10550 Albion Rd., San Ramon
 
September 13: 4:00-6:00 p.m. @ Iron Horse Middle School MPR (Risk Assessment & Test Results Read from Sept. 11 only); 12601 Alcosta Blvd., San Ramon

To check the status of your application(s), log in here 
At the top left, you should see Select a Project. Click the drop down to check the status of each individual level of clearance you have requested.
If you have been cleared for that level, you will see All Requirements Completed in small green type under the heading Volunteer Clearance Requirement Status (if you are cleared, details are hidden by default; you can click to show details).
 
  • If you have not yet been cleared, you will see Requirements Not Completed in small red type under the heading Volunteer Clearance Requirement Status. You may have already submitted information or you may still need to submit information. Click on the i icon to ensure you know what needs to be submitted (for Field Trip Driver, you need to both enter the required information and upload a copy of both your DL and Insurance). 
  • The attached examples are from my application process. The district is currently focused on clearing all Level 1 applicants first. Only after I cleared Level 1 could I submit Driv Lic and Insurance Info for Level 2. From a timing perspective, I submitted my original application on August 21. I've cleared Level 1, but not Level 2 as of yet. I've cleared part of Level 3 (overnight chaperone), but not the other part (overnight chaperone and driver).
